FREE HUGS VIETNAM PLAN COMPETITION 2009

Objective of the competition.
Free Hugs Vietnam (FHV) is a non-profit organization dedicated to providing youth members with the indispensable soft skills and social networks for their long-term benefits with community-oriented activities and training programs in collaboration with other foreign and national organizations.
As the foundation stone of FHV has always been that of human essentials, we strive to bring about opportunities for members to develop such important soft skills as teamwork, communication, presentation, and leadership & management; which will definitely come in handy for their growth and success in life. One practical execution of this aim will be realized via the launching of an event plan competition, an exciting playground for FHV members to display their original ideas, convincingly present these ideas to others, acquire valuable experiences working with peers towards a common goal. The most innovative and feasible plan developed by winning team will be considered for the upcoming activities carried out by FHV, and we will be able to discover talents for the future management board as well.
Eligible participants
The “Free Hugs Vietnam Event plan competition 2009” will be organized for all official members (those who have registered with Free Hugs Vietnam) as well as their non-member friends who are between 16-25 years of age. Members must form teams of 3-5 people (individual participants are not eligible).
Procedures and timings
Key dates:
16/10 (Friday): The competition starts.
15/11 (Sunday): Deadline to submit the plans (together with team names and team details.
19/11 (Thursday): Shortlist 6 plans for the final round
22/11 (Sunday): FHV will run a training workshop, introducing the shortlisted teams to their mentors. Each team will be assigned a mentor to help them finish their plan and prepare for the presentation.
6/12 (Sunday): Presentation Day & Award Ceremony. 15 minutes for each team to present, 10 minutes for Questions & Answers, 5 minutes for the judges to discuss so we will need 3.5 hours in total including a tea break. The reward for the winning team will be given on this day.
Contestants can invite friends & family to the Presentation Day.
TOPICS:
Here are the available topics to be used in the “Free Hugs Vietnam Event plan competition 2009”. Each team picks 1 topic only. You need to write an event plan and a marketing plan for the topic chosen.
We also accept plans written in Vietnamese, but encourage all participating teams to use English.
“University fair”: Suppose a trade fair (with a variety of products) will be conducted by Free Hugs Vietnam for all universities in Ho Chi Minh City to take part in, possibly including a music contest/ show by night. The money collected will go to charity purposes afterwards.

“Members festival”. We have meetups monthly to let the members know about the upcoming activities of Free Hugs and strengthening the connection between individuals in the organization. Normally they attract over 30 members. We now look for a way to gather all our members (in Ho Chi Minh currently there are approximately 200 registered members, and the plan must facilitate the participation of 150 – 300 members). This meetup should be about 2.5-3 hours with a lot of interesting activities. Based on your knowledge about the places and your assertiveness in group activities, you and your friends have been selected to become the Meetup Organizers for Free Hugs Vietnam.

“Doraemon Day”: We certainly all love Doraemon. Do you know that Doraemon comic book was first published in December 1969, which means our Doraemon will be exactly 40 years old this December? To celebrate his 40th birthday, FHV will host the “Doraemon Day” in Ho Chi Minh City on December 27, 2009. Suppose you are planning for this, what kind of activities do you want to be there? How do you decorate the place? (This event will attract about 2000 participants)
“Free Hugs Vietnam Campaign”: In July 2007, the Free Hugs Vietnam Campaign was held in Hanoi, Ho Chi Minh City, Da Nang & Nha Trang with the participation of 1000 teenagers. If you are planning for this campaign next year in Vietnam, what would you do?

“Topic of your choice”: Any other interesting activities that you may think of that are compatible with FHV’s mission and vision.
Successful plans should be detailed and convincing, of an adequate length, and be as specific as possible with charts, graphs, and other illustrations
Judges and mentors:
- Free Hugs Vietnam’s management board
- Mr. Thomas Wanhoff, IT-Consultant, one of the organizers of the Open IT-Conference Barcamp in Vietnam as well as in Cambodia, with 20 years experience in event planning, with conferences like Barcamp Frankfurt, Phnom Penh, Saigon, Podcastday in Germany as well as Music Festivals with bands like Toto and Jethro Tull.
- Mr. Chris Tran, Managing Director of Admax Vietnam, with over 13 years of experience working on the Internet, managing data operations centers and building enterprise web systems across the world for companies like Sprint Telecommunications, Bayer AG, the United States Air Force and Holcim. He returned to to Vietnam to work at Exotissimo Travel, developing and creating their online marketing strategy. Chris has deep knowledge in digital marketing, search engine optimization and enterprise web application systems, and worked in the UK, United States, Switzerland, Canada, Japan, Thailand and Vietnam.
- Mr. Duong Minh Tuan, CEO of i-Pop Network Vietnam
Submission
1st round: Soft copy will need to be submitted on November 11, 2009 before 12:00 PM to admin.hcmc@freehugsvietnam.com. The file will be named: EventPlan_[teamname]
2nd round: Soft copy will need to be submitted on December 5, 2009 before 12:00 P.M to admin.hcmc@freehugsvietnam.com
The file will be named: EventPlan_Official_[teamname]
One hard copy will also need to be submitted on the day of the presentation.
Rewards:
Besides the invaluable soft skills that each member will develop from this competition (teamwork, presentation, communication, leadership & management, etc), Free Hugs Vietnam’s management board will give the winning team official certificates and gifts.

Participants can freely consult many sources of books and materials in order to prepare well for the plans, but make sure you cite and reference all these sources in an appropriate way.

Prior to joining I-POP Vietnam, Tuan spent most of his working time (7 years) in the USA, for a NASA official partner company, Spectrum Control, Inc and for Demand Media, Inc, a premier publisher for Google Inc and Yahoo Inc. After coming back to Vietnam, Tuan was a senior manager for BAT (British American Tobacco Group). Fluently bi-lingual, Tuan earned a Bachelor of Business Administration (BBA), Management Information System (MIS) from University of Pennsylvania, USA.

IV. SUBMISSION

  • 1st round: Soft copy will need to be submitted on November 11, 2009 before 12:00 PM to admin.hcmc@freehugsvietnam.com. The file will be named: EventPlan_[teamname]
  • 2nd round: Soft copy will need to be submitted on December 5, 2009 before 12:00 P.M to admin.hcmc@freehugsvietnam.com

The file will be named: EventPlan_Official_[teamname]

One hard copy will also need to be submitted on the day of the presentation.

VI. REWARDS

Besides the invaluable soft skills that each member will develop from this competition (teamwork, presentation, communication, leadership & management, etc), Free Hugs Vietnam’s management board will give the winning team official certificates and gifts.

Participants can freely consult many sources of books and materials in order to prepare well for the plans, but make sure you cite and reference all these sources in an appropriate way.
